In short
- One page for each department: all the typical tasks, the connection to your existing programs, the approvals and the data.
- Your programs stay. The AI works alongside and prepares, while posting, ordering and sending happen in your systems.
- The decision and the approval stay with people. The AI makes suggestions, names its source and keeps a log.
- You do not have to start everywhere at once. Usually one workflow in one department is worth it, running alongside the existing work first.
The departments at a glance
Every page describes the same things: the department's tasks, the programs and interfaces, the approvals and rules, the data and the apps of your own that complement the department.
| Department | Typical tasks |
|---|---|
| Customer service | Answering common questions by chat and email, giving information on orders and deliveries, sorting and routing tickets |
| Accounting | Capturing supplier invoices, matching documents to orders and delivery notes, matching payments, preparing reminders |
| Procurement | Comparing supplier quotes, checking order confirmations, tracking delivery dates and deadlines in contracts |
| Sales | Scoring enquiries, preparing quotes, following up, keeping visit reports and data in the CRM |
| Logistics and warehouse | Reading advance shipping notices and freight documents, matching goods in with the purchase order, answering delivery enquiries, documenting transport damage |
| Management and controlling | Monthly report with commentary, KPIs from several systems, deadlines in view, minutes and decision papers |
| IT | Triaging tickets, solving standard requests, a knowledge assistant for manuals, rules against shadow AI |
| Projects and engineering | Reports from plans, photos and measurement data, taking off quantities, site reports, technical documentation |
| Production | Setting up production orders, preparing shift reports, inspection records and 8D reports, evaluating complaints |
| Legal and compliance | Reviewing contracts, tracking deadlines, organising evidence, preparing records |
| HR | Preparing onboarding, filing documents, answering employee questions |

What applies to every department
The pages differ in content, not in principles.
- Connect, do not replace: We replace neither your accounting software nor your ERP, your CRM or your ticket system. The AI uses their interfaces or works alongside with exports, a watched folder or email.
- Approval by people: The AI suggests and prepares. Posting, ordering, sending and approving payments is done by your people.
- A source for every statement: Code calculates figures from your data. The AI names the passage it relies on and says when it does not know something.
- Log: Every suggestion is recorded with source, time and decision, so that it stays clear who decided what.
- Data in the EU: We process data on servers in the EU and sign a data processing agreement with you. More under AI and data protection.
By industry instead of by department
Some questions depend less on the department than on the industry, for example when deadlines, professional rules or specialist programs shape the day. There are pages of their own for those:
- AI for law firms
- AI for doctors and medical practices
- AI for insurance
- AI for builders and trades
- AI in manufacturing
- AI in logistics
