In short
- Good areas of use: sorting and assigning documents, spotting missing records, preparing client enquiries, monitoring deadlines, drafting letters. The professional judgement stays with the tax adviser.
- Prerequisites are professional secrecy and data protection: a data processing agreement, servers in the EU, access rights and a clear AI policy.
- Advertising must inform factually. In Germany it is only allowed insofar as it is not aimed at obtaining a specific engagement (§ 57a StBerG).
- For visibility, what counts is a page for each service, maintained profiles, genuine reviews and structured data.
Where AI saves time in a practice
The examples are typical processes, not client projects. In each, the AI prepares and a qualified person checks.
- Incoming documents: read documents arriving by email or portal, assign them to the client and suggest postings. More in the article document capture and account coding with AI.
- Missing records: what arrives is matched against the checklist for each client, and the reminder is created as a draft.
- Client enquiries: emails are sorted by urgency and topic, and the draft reply points to the documents already available. More under Automate customer enquiries.
- Deadlines: assessment notices are read, deadlines are created as tasks and put to the specialist for checking.
- Meeting notes: summaries and tasks arise from meetings, see AI meeting notes.
- Knowledge search: information sheets, circulars and internal templates become searchable, see AI with your own data.
Tax assessments, responsibility for returns and advice in individual cases do not belong with the AI. They stay with you.
Professional rules and data protection
Tax advice is subject to professional secrecy. That also applies to services you pass data on to.
| Country | Basis | What applies in essence |
|---|---|---|
| Germany | § 57 StBerG and § 57a StBerG | Confidentiality about everything learned in the course of practice, and no improper advertising. Advertising is only allowed insofar as it informs factually about the professional activity in form and content and is not aimed at obtaining a specific engagement |
| Austria | § 80 WTBG 2017 and § 72 WTBG 2017 | Professionals must keep matters entrusted to them confidential, even if the circumstances are accessible to others. The chamber issues guidelines on practice, including on conduct befitting the profession. Check there what applies to your advertising |
Other countries have their own professional codes. When in doubt, ask your chamber. For the use of AI this means: do not enter client data into private or public accounts, sign a data processing agreement with the provider (Art. 28 GDPR), choose servers in the EU and commit staff to the AI policy. How Copilot and ChatGPT differ here is shown in the article Copilot vs ChatGPT for business. This overview is general information, not legal advice. Clarify professional-law questions with your chamber.
How practices get found: Google and AI assistants
- One page per service: annual accounts, payroll, business start-up, tax returns for private individuals. Each page says who the service is for, how it works and which documents are needed. Clearly structured pages are easier to cite.
- Maintained profiles: Google Business Profile and directories. More at Google Business Profile optimisation and Mentions and directories.
- Structured data: Schema.org has its own type for accounting and tax practices,
AccountingService. Name, address, services and opening hours belong there, see Schema markup. - Genuine reviews: without details of the engagement, because confidentiality also applies in replies.
- Stay factual: no promises of success, no comparisons with other practices.
How to start
- Choose one task: usually incoming documents or client enquiries.
- Clarify data protection and professional rules: data processing agreement, servers in the EU, access rights, confidentiality of staff.
- Set the rules: what may the AI prepare, what never? Who checks?
- Test in parallel: the AI works alongside the existing process, and deviations are counted.
- Tackle visibility: revise service pages and profiles, then use the check to measure whether AI assistants name your practice.
