What the tool means for businesses

Gemini in Google Workspace is relevant beyond its standalone app. Depending on the plan, employees may also be able to use Gemini within Workspace apps. The key questions are which tasks your team carries out there and which apps would benefit from support. The following information is based on the cited provider pages as at October 2026. Check features and availability with the provider before making a decision.

“Gemini Business” usually refers to the Gemini features in Google Workspace Business plans. The term alone does not tell you which features a team can use. According to the Workspace pricing page, Business Starter includes the Gemini app and Gemini in Gmail and Chat. It does not include Gemini in Docs, Sheets, Slides, Drive or Meet. Business Standard lists Gemini in Gmail, Docs, Meet and other apps. The pricing page shows the same Gemini access for Business Plus and Enterprise as for Standard. It also lists “AI Expanded Access” as an add-on without stating a price, and mentions “Gemini Notebook”. These details are as at October 2026; check the current plan details with the provider.

A simple inventory can help with an internal decision: Which Workspace apps does the department use? Which tasks would suit a pilot? What information may employees enter or draw from existing documents? This lets you assess actual needs rather than judging a plan by its name.

Plans and pricing

The following information comes from the Google Workspace pricing page. According to the provider, it applies to an annual commitment billed monthly. Prices are in euros per user per month. Google lists limited-time discounts for new customers until 7 February 2027, covering the first 20 users for 12 months. Information as at October 2026; check current terms with the provider. Budget for ongoing costs based on the plan and the number of seats needed, not a temporary offer. The pricing page used here does not state a price for the “AI Expanded Access” add-on.

Data privacy and company data

According to the provider, content used with Gemini in the listed Workspace apps is used only to generate responses to prompts, not to train or improve Gemini or other generative AI models. The provider also says Gemini only shows content that the individual already has permission to access. According to Google, administrators can enable or disable Gemini for groups. These statements refer to the linked Google help page as at October 2026; check the current version with the provider.

That does not mean you should leave existing permissions unchecked. If employees have access to documents, establish whether that access is still appropriate. Also check who can administer Gemini and which groups have it enabled. Personal accounts need separate consideration: according to the provider, data from those accounts may be used for training. Set rules for which accounts may be used with company data. Check these details with the provider as at October 2026.

Your Workspace contract and admin console are authoritative for the legal and organisational review. Review your data processing agreement. Ask the provider about server locations and subprocessors, and establish which settings apply to your organisation. Document administrator rights and add an AI policy covering permitted data, accounts and tasks. This article is not legal advice.

When it may be suitable and when it may not

Gemini in Google Workspace may be relevant to businesses whose employees already work in Workspace apps and want to assess support for suitable tasks. Whether a plan fits depends on the features required. If Gemini in Docs or Meet matters, for example, the Business Starter features described on the pricing page are insufficient. Check the current plan comparison with the provider before purchasing. The information used here is as at October 2026.

A chat assistant is less suitable as a standalone solution when a process requires defined steps, assigned responsibilities or actions across several systems. Unclear document permissions or a lack of rules for handling company data also argue against a broad rollout. Address these points first. A limited pilot can help identify suitable tasks and where human review remains necessary.

What a chat assistant cannot replace

A chat assistant can help with individual prompts and tasks. It does not replace a defined business process with checks, approvals and connections to your systems. Such workflows require AI automation or AI agents, with clear responsibilities and boundaries. Keep the choice of a tool for employees separate from the question of which workflows your business wants to automate.

How to introduce it with appropriate safeguards

1. Define a pilot group: Choose a limited group with specific tasks. Record which Workspace apps and data its members may use. Review existing access permissions before starting, then assess which tasks still need specialist review. Introducing ChatGPT in your business describes a general approach; do not apply its questions to Gemini without checking their relevance. 2. Set an AI policy: Specify which accounts are permitted, what data may be entered and who reviews the results. Include rules for handling confidential content and uncertain answers. An AI policy provides a shared framework. 3. Review and manage access: Check document permissions and administrator rights. Decide who may enable Gemini for groups and who approves changes. At the same time, check the data processing agreement, server locations and subprocessors with the provider. Only then should other groups receive access.
