In short
- n8n connects programs through a visual editor: triggers, steps, conditions. Where needed, you add your own code.
- The AI Agent node connects a language model with tools. This creates AI agents that look up data and prepare drafts.
- n8n can be self-hosted, for example on a server in the EU. The licence allows internal use within your business.
- Many teams can handle simple processes on their own. For critical processes, many systems and customer data, support pays off.
What n8n is
n8n is a workflow automation tool. In a visual editor you define what should happen: when an email with an attachment arrives, read the invoice, file it and send the data to accounts. Each step is a node, many common programs have ready-made integrations, and everything else runs through interfaces or custom code steps in JavaScript or Python.
You can use n8n as the vendor’s cloud service or host it yourself, for example on your own server. The licence, which n8n calls the Sustainable Use License, allows use for your business’s internal purposes. What it does not allow is selling n8n to third parties as your own service on which they build their own workflows. For your specific case, it is worth reading the licence terms.
AI agents in n8n
For some time now, n8n has had a dedicated node for AI agents. According to the documentation, it needs a language model and at least one tool. The tool can be a search in your database, access to the CRM, a knowledge base with your documents or another workflow. The agent then decides itself which tool to use when.
This makes it possible to build processes that cope with unclear input: an enquiry in free text is read, the customer found, the right documents retrieved and a draft reply created. What matters is that a person approves at the end before anything goes to customers. n8n can handle that too, for example as a step that waits for confirmation by email or chat.
Typical processes with n8n
- Enquiries: form or email, entry in the CRM, assignment to the right person, draft reply with AI.
- Invoices: read attachments from the mailbox, check the data, file it and pass it to accounts.
- Orders: transfer orders from the shop, email or portal into your ERP.
- Reports: collect figures from several programs and send them as a weekly report.
- Leads: enrich new contacts, score them by criteria and pass them to sales.
These examples describe typical processes, not client projects.
Do it yourself or work with an agency?
| Fine to do yourself | Better with support | |
|---|---|---|
| Scope | Two or three cloud services, a few steps | Many systems, ERP, custom interfaces |
| Data | No or little personal data | Customer, health or financial data |
| Failure | An error is noticed and causes little harm | The process must not stop unnoticed |
| AI | Summarising text, writing drafts | AI agents with access to your systems |
| Operation | The vendor’s cloud version | Your own server with updates, backups and monitoring |
What to watch for with n8n
- Decide on hosting: the vendor’s cloud or your own server, ideally in the EU, with regular updates.
- Manage credentials centrally in n8n, never in plain text inside workflows.
- Automatically notify a responsible person when errors occur.
- Log executions so it is clear what happened when.
- Back up and version workflows so changes can be undone.
- Document each workflow briefly: purpose, trigger, programs involved, contact person.
What an n8n agency should deliver
A good agency does not just build workflows, it first understands the process. Look out for these points:
- Process before tool: first clarify what the workflow should achieve and where exceptions occur.
- Honesty: sometimes a feature in your existing software is a better solution than a new workflow.
- Operation and maintenance: who takes care of updates, errors and changed interfaces?
- Handover: workflows can be exported as files. You should have access at all times and not depend on one person.
- Data protection: a data processing agreement, permissions on a least-privilege basis, logs.
We implement automations with n8n and other tools for small and mid-sized businesses. Wherever possible, workflows and data run on servers in the EU. More on process automation and AI agents.
